An association's official records are sensitive, and the people responsible for them — boards, managers, and the attorneys who advise them — need to know how those records are held. This page describes how RecordGuards protects your data, in plain terms.
We describe only what is actually in place. You will not find a certification we do not hold or an availability promise we do not make.
How RecordGuards protects your data

Encrypted in transit
Every connection to RecordGuards is served over HTTPS with TLS. Traffic between residents, board members, and the platform is encrypted on the wire.

US-based cloud hosting
RecordGuards is hosted on US-based cloud infrastructure (DigitalOcean), with TLS certificates renewed automatically.

Per-tenant isolation
Each association's data is logically separated, and every request is automatically scoped to that association at the application layer.

Role-based access control
Access follows defined roles — board, manager, owner, resident — so people see only what their role allows. New accounts require approval before they can reach association records.

Two-factor admin sign-in
Administrator sign-in requires a one-time verification code in addition to a password, so a leaked password alone cannot reach the administrative surface.

Append-only audit trail
Records actions — viewing a document, posting an announcement, charging a fee, approving a request — are written to an audit log that is never edited or deleted. It is designed to support the records-keeping expectations of Florida's association statutes.

Backups & recovery
Automated nightly off-site backups to US-based storage (DigitalOcean), retained 30 days. Continuous write-ahead-log archiving enables point-in-time recovery to within minutes of an incident, and our recovery path is restore-tested end-to-end — not just configured.

Your data, exportable
Associations and owners can export their data on demand. Your records are yours; you are never locked in.

Hashed credentials
Account passwords are stored as bcrypt hashes, never in readable form.

RecordGuards is built and operated by Valzero, Inc., based in Miami, Florida. We are not a faceless reseller — when you custody your association's records with us, you know exactly who the operator is and where to reach them.
We build for one job: helping Florida community associations — condominiums, cooperatives, and homeowner associations — meet their statutory records obligations. That focus is the reason the platform is shaped the way it is.

What we don't claim
We do not hold a SOC 2 or ISO 27001 certification, and we do not say we do. As we grow, formal attestations may follow — we will publish them here when they are real, not before.
We do not advertise an uptime percentage or a service-level guarantee. We monitor availability and are alerted when something is wrong, but we will not print a number we cannot stand behind contractually.
